Pinetree Deployments Ltd is the data controller for personal information collected through this website. We are a company registered in England and Wales under company number 17428882, with a registered office at Suite A, 82 James Carter Road, Mildenhall, IP28 7DE (for legal correspondence only).
For any privacy question, use the contact form on this website. Please do not include passwords, payment-card details or other sensitive information in your message.
What information we collect
We aim to collect only what we need. Through this website that means:
- Enquiry details you submit — your name, work email, company or organisation, and optionally your role, company website, telephone number, preferred contact method, project timeline and the details of your project.
- The content of your message and any context you choose to provide.
- A privacy-notice acknowledgement and the version you agreed to.
- Limited technical and security information generated when the site is used, such as a correlation identifier for each enquiry and information needed to prevent spam and abuse.
We do not knowingly collect special-category data. Please do not send health information, government identifiers, financial-account details or other sensitive personal data through the enquiry form.
Why we process it, and our lawful basis
- To respond to your enquiry and discuss a possible engagement — this is in our legitimate interests, and steps taken at your request before any contract.
- To provide services and manage a client relationship where one begins — for the performance of a contract.
- To keep the website secure and prevent abuse — our legitimate interest in protecting the service.
- To meet legal and regulatory obligations — where the law requires it.
- For any optional analytics or non-essential cookies — only with your consent, which you can withdraw at any time.
Who processes information on our behalf
We use a small number of service providers to run the website and respond to enquiries. They act on our instructions under contract:
- An email delivery provider, used to send and receive enquiry notifications and acknowledgements.
- A hosting and infrastructure provider, used to serve the website and store operational logs.
- Where enabled, a spam-prevention or bot-protection provider; and, where enabled, a privacy-conscious analytics provider.
We do not sell personal information, and we do not share it for advertising. We only disclose information to others where the law requires it, or to protect our rights.
Where information is processed
Some of our providers may process information outside the UK. Where that happens, we rely on appropriate safeguards recognised under UK data-protection law, such as adequacy regulations or standard contractual clauses. We will not state that information never leaves the UK, because that depends on the providers in use at the time.
How long we keep it
We keep enquiry information for as long as needed to respond and to consider or manage a possible engagement, and then only as long as we have a legitimate business or legal reason to retain it. Security and system logs are kept for a shorter period appropriate to their purpose.
How we protect it
We apply appropriate technical and organisational measures, including access controls, encrypted connections, and redaction of unnecessary personal data from application logs. No online service can be guaranteed to be completely secure, and we do not claim that ours is.
Your rights
Subject to the conditions in UK data-protection law, you have the right to access your personal information; to have it corrected or erased; to restrict or object to processing; to data portability; and to withdraw consent where processing is based on it.
